Introduction

At Data Center Xpert, Inc. , we recognize that handling and protecting the personal information of our clients and candidates is one of our most important responsibilities as a professional recruitment firm. We strictly comply with the Act on the Protection of Personal Information and all relevant laws and regulations, and manage and use personal information in accordance with the following policy.

1. Personal Information Collected

We obtain personal information through legitimate means, including but not limited to:

- Information provided by candidates (name, address, phone number, email address, date of birth, work history, qualifications, preferences, etc.)

- Recruitment information and contact details of hiring managers entrusted to us by client companies

- Records, evaluations, and related information obtained during interviews or the selection process

2. Purpose of Use of Personal Information

Personal information acquired by us will be used for the following purposes:

1. Providing job opportunities and recruitment services to candidates

2. Introducing candidates and supporting recruitment activities for client companies

3. Communication related to interview scheduling, notifications, and selection results

4. Providing information and responding to inquiries about our services

5. Research and analysis to improve service quality and develop new services

6. Responding to administrative agencies or other requests in accordance with laws and regulations

3. Management and Protection of Personal Information

We manage personal information accurately and in an up-to-date manner, and take appropriate security measures to prevent leakage, loss, falsification, or unauthorized access. We also provide necessary supervision and guidance to employees and contractors handling such information.

4. Provision of Personal Information to Third Parties

We do not disclose or provide personal information to third parties except in the following cases:

- With the individual’s prior consent

- When disclosed in a form that does not identify individuals (e.g., anonymization)

- When providing candidate information to client companies within the scope necessary for recruitment services (with prior consent obtained from the candidate)

5. Disclosure, Correction, and Deletion of Personal Information

Upon request from the individual, we will promptly disclose, correct, delete, or suspend the use of retained personal information as appropriate.

6. Compliance and Continuous Improvement

We comply with all laws, regulations, and guidelines regarding the protection of personal information, and continuously review and improve our management system.

7. Internal Regulations (Education, Responsibility, Complaint Handling, etc.)

1 Employees authorized to handle personal information are limited to the Representative Director and the Licensed Recruitment Manager. The appointed Personal Information Management Officer is Yo Aoyama, Representative Director.

2 The Licensed Recruitment Manager provides training and guidance to employees handling personal information at least once a year. In addition, the Recruitment Manager is required to attend training courses at least once every five years to maintain up-to-date knowledge of personal information protection.

3 If an individual requests disclosure of personal information, such disclosure will be made without delay, based on objective facts such as qualifications or professional experience. If a correction (including deletion) is requested and found to be factually accurate, the correction will be promptly implemented.

The Recruitment Manager is responsible for ensuring that candidates and others are informed of such procedures.

4 In the event of a complaint regarding the handling of personal information, the Complaint Handling Officer, Kai Katayanagi, Licensed Recruitment Manager, will address the matter sincerely and appropriately.
